Who this Privacy Policy applies to
This Privacy Policy applies to people who interact with Senbrio, including beauty business owners and administrators, staff members, clients of beauty businesses, and visitors to Senbrio websites and booking pages.
When a beauty business uses Senbrio to manage its own clients, that business generally determines why client information is collected and how it is used in connection with its services. Senbrio handles that information to provide the platform and related services.
Senbrio also processes certain information for its own operational purposes, such as operating accounts, maintaining platform security, providing support and communicating with users.

Information we collect
For beauty business owners and administrators, we may collect information such as name, email address, telephone number, date of birth, address, business name, business details and account information.
For staff members, we may collect information such as name, contact information, staff profile information, availability, schedules and appointment-related information.
For clients of beauty businesses, information handled through Senbrio may include name, email address, telephone number, booking and appointment history, notes, preferences, consultation form responses, allergy or health-related information, and reference photographs or other files submitted in connection with an appointment.
Date of birth and residential address are not currently collected as standard client booking information and are primarily collected in connection with business-owner accounts where required.
We may also process technical information necessary to operate and secure the service, such as device, browser, network or authentication information.
Senbrio does not currently process or store payment-card details through the platform.

Sensitive information
Some information entered into consultation forms, allergy fields or client notes may contain health information or other sensitive information.
Beauty businesses should only collect this type of information where it is reasonably necessary for the services they provide and where any required consent has been obtained.
Senbrio processes this information to provide the functionality requested by the relevant beauty business and does not use it for unrelated purposes.

Reference photos and uploaded files
Clients, beauty businesses and authorised staff may upload reference photographs or other files through Senbrio where the relevant feature is available.
Uploaded reference photographs are stored through Senbrio’s infrastructure and may be viewed by the relevant beauty business and its authorised staff.
These photographs may be used for purposes connected with appointments, consultations and the services requested by the client.
Senbrio does not use client photographs or other personal information to train AI models.

How we collect information
We may collect personal information directly when someone creates an account, makes or manages an appointment, completes a consultation form, communicates with a beauty business through Senbrio, uploads information or files, contacts Senbrio for support, or otherwise uses the platform.
We may also receive information from beauty businesses and their authorised staff when they create or update client records, appointments, notes or other information within Senbrio.

How we use personal information
We use personal information to operate and provide Senbrio, manage accounts and authentication, create and manage appointments, maintain client records, support consultation and booking workflows, send appointment-related communications, provide customer support, maintain platform security, prevent misuse, troubleshoot the service, improve platform functionality, and comply with applicable legal obligations.
Senbrio does not sell personal information.

Communications from beauty businesses
Beauty businesses using Senbrio may use the platform to communicate with their own clients, including for booking confirmations, appointment reminders, follow-up communications and, where permitted, marketing or promotional communications.
The relevant beauty business is responsible for ensuring that its communications with clients comply with applicable laws and consent requirements.
Senbrio may process the information necessary to deliver those communications on behalf of the business.

Senbrio marketing communications
Senbrio may send its own marketing communications only where an individual has separately and expressly opted in to receive those communications.
Consent to receive marketing from Senbrio is separate from providing information to a beauty business for an appointment.
Senbrio does not treat making a booking through a beauty business as automatic consent to receive Senbrio marketing.
Individuals can withdraw their marketing consent at any time using the unsubscribe method provided in the relevant communication or by contacting us.
Senbrio does not include individuals known to be under 18 years of age in Senbrio’s own direct-marketing lists.

Children and young people
Clients under the age of 18 may use Senbrio to make and manage appointments with participating beauty businesses.
A young person’s ability to make privacy decisions depends on their understanding and maturity.
Where sensitive information is being collected from a younger client, such as allergy or health information, a parent or guardian may need to provide consent where the young person does not have sufficient capacity to provide valid consent themselves.
Beauty businesses are responsible for determining whether parental or guardian consent is appropriate for the particular services and information they request.
Senbrio does not knowingly use personal information relating to people under 18 for Senbrio’s own direct marketing.

Service providers
Senbrio uses service providers to operate the platform.
Primary application infrastructure and data storage are currently provided through Microsoft Azure, with primary application data hosted in the Australia East region.
Senbrio currently uses Resend to deliver email communications such as booking confirmations, reminders and other platform-generated emails.
These providers may process limited personal information necessary to provide their services.
Where appropriate, Senbrio takes reasonable steps to select and use service providers that support appropriate privacy and security practices.

Overseas processing
Although Senbrio’s primary application data is hosted in Australia through Microsoft Azure Australia East, some third-party service providers may process information outside Australia.
In particular, information required to deliver emails through Resend may be processed outside Australia, including in the United States.
Where applicable, Senbrio takes reasonable steps in relation to overseas handling of personal information and the service providers it uses.

AI and automated features
Senbrio is developing AI-enabled functionality as part of its product roadmap.
At the date of this Privacy Policy, Senbrio does not use a third-party AI model provider in production to process client personal information.
Senbrio does not use personal information belonging to beauty businesses or their clients to train AI models.
If future AI features change how personal information is processed, shared or used, we will update this Privacy Policy and provide additional information or choices where appropriate before those practices are introduced.

Data security
We use reasonable technical and organisational measures designed to protect personal information against loss, misuse, unauthorised access, modification and disclosure.
These measures may include access controls, authentication, role-based access restrictions and infrastructure security.
No online service can guarantee absolute security. Users should also take reasonable steps to protect their account credentials and notify us if they believe their account has been compromised.

Data retention and deletion
We retain personal information only for as long as reasonably necessary for the purposes for which it was collected, for operation of the service, or where retention is required for legal, security or dispute-resolution purposes.
Beauty businesses can manage, export and delete client information through available Senbrio functionality.
When personal information is deleted or is no longer reasonably required, we take reasonable steps to delete or de-identify it, subject to applicable legal, security and technical requirements.

Access, correction and deletion requests
Individuals may contact Senbrio to request access to personal information we hold about them, request correction of inaccurate information, or request deletion where appropriate.
Where the information relates to a client relationship with a particular beauty business, we may direct the individual to that business or work with that business to respond to the request.
Requests can be sent to support.senbrio@gmail.com.
We may need to verify the identity of the person making a request before providing or changing personal information.

Data export
Beauty businesses may use available Senbrio functionality to export client data associated with their business.
The availability and format of exported information may depend on the features available in the relevant version of Senbrio.

Data breaches
Senbrio maintains processes intended to identify, assess and respond to suspected unauthorised access, disclosure or loss of personal information.
Where a data breach occurs, we will assess the circumstances and take appropriate action, including any notifications required by applicable Australian law.

We will review privacy complaints and seek to respond within a reasonable period.
Where applicable, individuals may also have the right to raise a privacy complaint with the Office of the Australian Information Commissioner (OAIC).
